If you look at the homepage of any major CRM, they write paragraphs about "AI-driven lead scoring," "enterprise round-robin routing," and "multi-channel marketing campaigns."
These features are fantastic if you are managing a 50-person agency. But if you are a solo agent working out of your car, these features are useless clutter that makes the app harder to navigate.

You should never have to manually copy and paste an email from a client into your CRM. A good solo CRM must automatically sync with your Gmail or Outlook.
When a buyer sends you a panic-stricken email about their loan condition at 10 PM, that email must immediately appear in their CRM timeline so that you have a single source of truth when speaking to their lender the next morning.
2. A Mobile-First Interface with Fast Note-Taking
Solo agents don't sit at desks. We work at dining room tables, in our cars, and at coffee shops. If your CRM doesn't have an incredibly fast, simple mobile app, you will not use it.
The mobile app must allow you to: * Tap a client's contact to call them. * Prompt you to record notes immediately after the call finishes. * Use voice-to-text to write notes while driving to your next listing appointment.

Every market is different. If you sell rural land, you need to track "well status" and "acreage." If you sell luxury condos, you need to track "HOA dues" and "parking stalls."
Your CRM must allow you to add custom text, currency, and date fields to your client profile in seconds. If a CRM restricts custom fields or charges an upgrade for them, walk away.
4. Direct Meeting Schedulers
Sending back-and-forth texts like *"Are you free at 2? No, how about 4?"* looks unprofessional and wastes time. A simple booking scheduler (where buyers select an open showing slot on your calendar) is a must-have tool that builds trust.

- Round-Robin Routing: You have no team members to route leads to. Do not pay for complex routing mechanics.
