When you first pass your licensing exam, every vendor under the sun comes knocking on your door. They promise that if you spend $150/month on their database, listings will magically fall into your lap.
Let's be clear: A CRM does not generate leads. You generate leads.
If you do not have clients, a CRM is just an expensive address book. Here is our honest guide on whether you actually need a CRM in your first year, and what to do instead.
Rule of Thumb: The "Rule of 15"
Do not buy a CRM on day one. Instead, use a simple Google Sheet or Excel file while you are setting up your license and holding your first open houses.
Only invest in a CRM when you hit The Rule of 15: * You are actively communicating with 15 or more active buyer or seller leads who are looking to do something in the next 90 days. * You find yourself forgetting who you promised to follow up with on Tuesday. * You are actively hosting more than 2 open houses a month and need an automated way to log attendee details.
Once you have 15 active prospects, a spreadsheet breaks down. You can no longer easily track conversation histories, booking links, or listing criteria. This is when a CRM goes from a "luxury" to an absolute necessity.
What to Look for in Your First CRM
As a new solo agent, your requirements are completely different from a large agency:
- Zero or Low Fixed Cost: Do not lock yourself into a high monthly contract. Focus on platforms with great free tiers or cheap starter packages (like Streak's Free Tier or Pipedrive's Essential Tier at $14/mo).
- Simple Email Logging: You need to see exactly when you emailed a buyer, what properties you sent, and if they opened them.
- Meeting Scheduler: You want to easily send a link to your sphere of influence to book a coffee chat, without going back and forth on times.
