The Spreadsheet Trap
Almost every solo agent starts their career in Excel or Google Sheets. It is free, simple, and comfortable.
But as your business grows, spreadsheets become dangerous: * You cannot schedule automatic reminders. * You cannot see email history. * You cannot attach documents. * It is incredibly easy to accidentally delete a row of contact data.
Migrating your database to a CRM feels incredibly daunting. You worry you will corrupt your data, duplicate contacts, or lose your notes. Here is our simple, step-by-step checklist to migrate successfully in a single afternoon.
Step 1: Clean Your Spreadsheet (Do This FIRST)
Do not import a messy spreadsheet. It is far easier to clean your data in Google Sheets or Excel than it is inside a CRM.
Go through your spreadsheet and execute this cleaning protocol:
1. Format Phone Numbers: Ensure all phone numbers are clean digits (e.g. 555-123-4567 or 5551234567). Remove letters or random notes from the phone column (e.g., separate "555-123-4567 (spouse)" into a separate "Spouse Phone" or "Notes" column).
2. Split Names: Ensure you have separate columns for First Name and Last Name. If they are combined as "John & Jane Smith", split them or duplicate the row so each person has their own record.
3. Add a "Relationship Tag" Column: Add a column named "Tags" or "Group". Mark every person as either: Sphere of Influence, Active Buyer, Active Seller, Past Client, or Vendor. This allows you to filter them instantly once imported.
Step 2: Format the Headers for Your Target CRM
CRMs are very smart, but they need help matching your spreadsheet columns to their internal database fields. Match your column headers to these standard names:

Step 3: Export as a UTF-8 .CSV File
When your data is formatted, click File > Download > Comma-separated values (.csv). This is the universal database format that every CRM on the planet accepts.
Step 4: Map the Fields and Run a Test Import
When you log into your new CRM (e.g. Pipedrive or Streak), navigate to the "Import Data" section.
- Upload your
.csvfile. - The CRM will show you a mapping screen. Confirm that your "First Name" column matches their "First Name" field, etc.
- The Secret trick: Only import 5 rows as a test first!
- Check those 5 contacts. Do they look clean? Are the phone numbers in the correct slot? Are the custom notes readable?
- If yes, delete those 5 test contacts and run the full import of your database.
By following this protocol, you will transition to your new CRM seamlessly, without dropping a single deal.
